Withdrawal Policy

At Educational Process: International Journal (EDUPIJ), we are committed to upholding the highest standards of publication ethics and scholarly integrity. We recognize that, in certain circumstances, authors may need to request the withdrawal of a manuscript after submission.

This Withdrawal Policy is aligned with the principles of the Committee on Publication Ethics (COPE) and with best practices in open access publishing. By submitting a manuscript to EDUPIJ, authors acknowledge and agree to the terms outlined below.

1. Withdrawal Requests Before Peer Review

Authors may request the withdrawal of their manuscript before it has been assigned to reviewers.

  • The corresponding author should send a formal withdrawal request by email to the editorial office at [editor@edupij.com].
  • The request should include:
    • Manuscript title
    • Submission ID (if available)
    • A brief explanation for the withdrawal

At this stage, no fees or penalties are applied. Authors are encouraged to submit such requests as early as possible to avoid unnecessary processing.

2. Withdrawal Requests During or After Peer Review

If a manuscript has already entered the peer review process, EDUPIJ has invested editorial and administrative resources, as well as the time and expertise of external reviewers.

In this case:

  • The corresponding author should submit a formal withdrawal request to the editorial office, including:
    • Manuscript title
    • Submission ID
    • A clear and reasoned explanation for the withdrawal
  • To help cover part of the editorial and review-related costs incurred up to that point, authors may be asked to pay 20% of the Article Processing Charge (APC).

Such requests are considered on a case-by-case basis, with attention to both the authors’ circumstances and the resources already devoted to the manuscript.

3. Withdrawal of Accepted Manuscripts

Once a manuscript has been formally accepted for publication, it has already passed extensive editorial and peer review assessment. Withdrawal at this stage can have implications for the scholarly record and for journal scheduling and planning.

  • Withdrawal requests after acceptance will be considered only in exceptional circumstances.
  • The corresponding author must:
    • Provide a detailed justification for the withdrawal
    • Submit the request to the editorial office for consideration by the Editorial Board

Financial implications:

  • Once the Article Processing Charge (APC) has been paid after acceptance, it is strictly non-refundable, as editorial and production processes have already been initiated.
  • If the withdrawal request is approved, the manuscript will be removed from the journal’s publication process, and the APC paid after acceptance will not be refunded under any circumstances or for any reason.

The Editorial Board will review each request carefully and communicate a final decision to the authors.

4. Ethical Considerations and Unethical Withdrawal

EDUPIJ strongly encourages authors to submit manuscripts only when they are confident in their decision to publish with the journal and when the work is not under consideration elsewhere, in accordance with COPE guidelines.

Examples of problematic or potentially unethical withdrawal may include, but are not limited to:

  • Withdrawing an accepted manuscript solely to submit or publish the same work in another journal without prior disclosure
  • Submitting the same manuscript to multiple journals simultaneously, and then withdrawing from EDUPIJ after acceptance because it has been accepted elsewhere

In cases where withdrawal appears to involve potential publication misconduct (e.g., duplicate submission, redundant publication, or breach of prior agreement), EDUPIJ may:

  • Conduct an internal ethical review in line with COPE recommendations
  • Record the incident in its internal records as part of its commitment to publication integrity
  • In serious or repeated cases of confirmed misconduct, take this into account when evaluating future submissions from the same authors or institutions

Any such actions will be taken with care, proportionality, and fairness, and will always be guided by COPE principles.

5. Guidance for Authors

Authors are kindly requested to:

  • Carefully consider their choice of journal and the implications of submission before sending their manuscript
  • Ensure that the manuscript is not under consideration elsewhere at the time of submission
  • Communicate promptly and transparently with the editorial office if circumstances change after submission

The editorial and peer review processes require significant time and effort from editors, reviewers, and staff. Authors’ cooperation helps preserve a fair, efficient, and ethically robust publication environment for all parties involved.
